Overview
This Frequently Asked Questions (FAQ) article answers common questions about using the Digital PDP Tool. It covers known issues, PDP submissions, meeting reminders, saving your work, and alternative options if you are unable to complete your PDP online.
Why can't I see a PDP that has been submitted?
If you are a line manager and are expecting a submitted PDP to appear in the Upcoming Meetings section of your dashboard:
- Log out of the Digital PDP Tool and sign back in.
- Ask the staff member to confirm that they received a submission confirmation message.
- If the PDP still does not appear, contact HSeLanD Support with:
- The staff member's name
- The date the PDP was submitted
The support team can investigate whether any issues occurred during submission.
How can I avoid losing my PDP content?
It is recommended that you prepare your PDP responses in a Word document before entering them into the Digital PDP Tool.
Once your responses are complete, you can copy and paste them into the system.
This ensures you retain a copy of your work if the platform experiences an interruption.
Should I save my PDP while completing it?
Yes.
Use Save and Continue within the first few minutes of starting your PDP and continue saving regularly throughout the process.
Frequent saving helps minimise the amount of work that could be lost if your session is interrupted.
What should I do if the Digital PDP Tool is unavailable?
If the Digital PDP Tool is unavailable or affected by a wider HSeLanD service issue, any content saved separately in a Word document will remain available to you.
This is why preparing your PDP outside the tool is recommended.
Can I rely on PDP reminder emails?
No.
There is a known issue affecting the reliability of reminder emails generated by the Digital PDP Tool.
Staff members and line managers should not rely on these emails to manage PDP meetings.
What should I do when my PDP meeting date is agreed?
As soon as the meeting date is agreed:
- Add the meeting to your calendar.
- Ensure it is added to your line manager's calendar.
- Retain any meeting invitations or confirmations.
Recording the meeting outside the Digital PDP Tool helps ensure it is not missed.
My line manager cannot see my submitted PDP. What should I do?
First, confirm that you received a PDP submission confirmation message when you submitted your PDP.
If your line manager still cannot see the PDP after refreshing their dashboard, they should contact HSeLanD Support with your name and the date you submitted it.
Can I complete my PDP on paper?
Yes.
If you are unable to complete your PDP online, the Digital PDP Tool can generate a PDF version of your PDP which can be printed and completed on paper for the current PDP cycle.
Who should I speak to if I need to complete my PDP on paper?
You should speak to your line manager.
They can provide support and guidance on completing the PDP using the paper-based process.
Is the paper-based process permanent?
No.
The paper-based option is available as an alternative for the current PDP cycle where required. The Digital PDP Tool remains the preferred method of completing and reviewing PDPs.
Are there any known issues with the current Digital PDP Tool?
Yes.
Known issues currently include:
- PDP submissions not always appearing immediately for line managers.
- Reliability issues with reminder and notification emails.
- Potential disruption during wider HSeLanD service outages.
The guidance in this article is intended to help users work around these issues.
Is a new Digital PDP Tool being developed?
Yes.
Further updates will be communicated as they become available.
Where can I get additional support?
